Evaluator Agreement
Effective November 1, 2026
This Evaluator Agreement applies to Road to Prep staff and approved partners who evaluate athletes on Road to Prep ("you"). It's in addition to our Terms of Service and Privacy Policy. Road to Prep may update it, and you'll be asked to accept changes.
1. Your role
You evaluate athletes at Road to Prep events and from film families submit, and record ratings, notes and reports in the Road to Prep evaluation tool. Unless you have a separate written agreement with Road to Prep, you serve as an independent evaluator, not an employee, and you aren't authorized to make promises on Road to Prep's behalf.
2. Honest, fair evaluations
- Evaluate on ability, potential and observable play. Be honest, specific and constructive. Remember that families of minors will read full reports.
- Never accept payment, gifts or favors from families, clubs or schools in exchange for ratings or rankings. Rankings and evaluations are never for sale.
- Disclose any conflict of interest (for example, coaching or being related to an athlete, or working for a club or school involved) and don't evaluate athletes where a conflict exists.
- Don't comment on an athlete's health, family, appearance or personal circumstances.
3. Confidentiality and data
- Athlete information you see is confidential. Use it only to evaluate athletes for Road to Prep.
- Don't copy, download, screenshot, share or keep athlete information outside the Road to Prep tool.
- Don't contact athletes or families except through Road to Prep, and never contact an athlete privately.
- When your role ends, delete any notes or information you kept.
4. Conduct around minors
- Follow Road to Prep event rules and the instructions of event staff.
- Never be alone with an athlete out of view of others, and keep all communication with athletes public, professional and copied to a parent.
- Report any suspected abuse, injury or safety concern to Road to Prep staff immediately, and to the authorities where the law requires.
- Road to Prep may require a background check before you evaluate at events.
5. Ownership
Evaluations, ratings, notes and reports you create for Road to Prep belong to Road to Prep. Road to Prep may edit, publish or remove them, and never shows evaluator names to families or schools.
6. Ending your role
Road to Prep may end your evaluator access at any time. Sections 3 and 5 continue after your role ends.
